Rideshare vehicle cost per mile: fuel, maintenance and fixed expenses
Vehicle costs go beyond your next gas purchase. Tires and maintenance may be paid later, but every mile already contributes to wear and loss of vehicle value.
Separate variable and fixed expenses, allocate them consistently and document exactly what your cost-per-mile estimate includes.
Build variable costs per mile
Fuel cost per mile is the price per US gallon divided by MPG. For tires and scheduled maintenance, divide the expected expense by useful life or service interval in miles.
Estimate depreciation with expected loss of vehicle value over a period divided by the corresponding mileage. Record your assumptions and revise them as actual expense records improve.
Variable cost per mile = fuel + maintenance + tires + depreciation per mile
Allocate fixed expenses without double-counting
Insurance, rental charges and other period expenses can be allocated over work miles from the same period. If you also use the vehicle personally, define the business share consistently.
Cash flow and economic profit are different. A loan payment is not the same as depreciation; principal and interest play different roles. This calculator does not determine tax deductions. Consult an appropriate professional for your accounting and tax situation.
Review your estimate against actual records
With a fictional cost of $0.35 per mile, 12 total miles cost $4.20. A $18.00 payout leaves $13.80 after the items included in that estimate.
Do not deduct fuel or maintenance again when they are already included. Use total work mileage, including unpaid driving, and compare estimates with monthly expenses to refine your targets.
- Separate variable and fixed costs.
- Use the same period for expenses and miles.
- Record the costs included.
- Review estimates against actual monthly records.

Frequently asked questions
Is there one cost per mile for every vehicle?
No. Fuel economy, usage, maintenance, depreciation and rental terms change the estimate. Use your own records.
Is a tax mileage rate my actual vehicle cost?
Not necessarily. A tax allowance and your actual operating costs are different concepts. This tool does not calculate tax deductions or use a government mileage rate.
